How Email Encryption Works

The ideal email encryption setup takes a current email account and adds an encryption layer. If the email account is hosted by a 3rd party company or within a business’ email server, our encryption setup services have a good chance of working. With thousands and thousands of different types of email providers, it is hard to cover 100% of the situations. Overall, the trick we use is to configure the email account to route selected outbound emails via an 3rd party encryption server. The setup and configuration of this encryption layer is where we come in.

We'll work with you and make the configuration changes to your email so that certain outbound emails can be routed via a 3rd party encryption server. Then, when an outbound email is tagged to be encrypted, it will be routed appropriately via an encryption server and dlivered to its destination in an encrypted format.

Depending on the selected service level, an outbound email can be tagged to be encrypted based upon a few criteria. Either it can be based upon the following:
• The content of the email
• The content of the email's attachments
• By adding a keyword to the subject of the outbound email.
• By clicking on the "Secure" or "Encrypt" button that some email programs can provide.

When delivered to the recipient, the end user receives an email in their inbox in one of two  fashions.
• If the sender is using the same email encryption server (via a subscription) as the recipient, then the recipient will find the entirety of the email within their inbox with attachments and all.

• If the sender is using a different email encryption server or is not subscribing to any 3rd party encryption service,  then the recipient will find an “indicator” email within their inbox with a link to a website where the full email can be viewed. Getting onto this website requires have a user name and password setup to get into the website. With many different 3rd party encryption providers out there, end users have a burden of keeping track of the many websites that they have to log into in-order to access the encrypted emails at exist up on the server.

We believe the email provider that we work with , Vixcorp,  will become the de-facto standard. If this happens over time, then more encrypted emails will make it to your inbox in their full content and less will have to be accessed via the process of logging onto encryption websites.
